This notice is written for the new website and should be reviewed by the business owner before publication, particularly if analytics, advertising pixels or a different booking provider are added.
Who is responsible for your information?
Sam's Sports Massage is responsible for information provided directly to the practice. Questions about privacy can be sent to samkennett96@gmail.com or raised by calling 07379 903571.
Information you may provide
Depending on how you contact or book, this may include your name, email address, telephone number, appointment details, payment status, relevant health information, treatment notes and messages you send.
Online booking
The website embeds Sam's live Acuity Scheduling calendar. When you open or use that calendar, your information is sent to Acuity/Squarespace and handled under its own privacy terms. The calendar may also use cookies or similar technologies needed to provide booking, payment and account features.
The main website delays loading the booking calendar until you approach the booking section or choose to load it. You can also open the booking page directly in a new tab.
Contact and social platforms
If you contact Sam by email, telephone, WhatsApp or Instagram, the relevant service provider will process your information under its own terms. Avoid sending highly sensitive information through social-media direct messages unless Sam has asked you to use that channel.
How information is used
- To answer enquiries and arrange, confirm or manage appointments.
- To provide suitable treatment and maintain appropriate client records.
- To process payments, refunds or deposits where applicable.
- To meet professional, insurance, accounting, safeguarding and legal obligations.
- To protect clients, the therapist and the practice from fraud, misuse or safety risks.
Legal bases
Information may be processed because it is needed to take steps at your request or provide a booked service, because there is a legitimate interest in running and protecting the practice, because the law requires it, or because you have given consent. Health information is handled only where there is an appropriate additional condition under UK data-protection law.
Sharing information
Information is not sold. It may be shared with service providers that support booking, payment, email, communications, website hosting or professional administration. Information may also be disclosed where required by law, to protect someone's vital interests, or with your permission when coordinating care with another professional.
How long information is kept
Information is kept only for as long as needed for the purpose it was collected, to provide ongoing care, resolve disputes and satisfy professional, insurance, tax or legal requirements. Retention periods may differ between appointment, financial and clinical records.
Security
Reasonable technical and organisational measures are used to protect information. No online service can be guaranteed completely secure, so please use an appropriate communication method and contact Sam promptly if you think information has been sent to the wrong person.
Your rights
Under UK data-protection law, you may have rights to ask for access, correction, deletion, restriction, objection, portability or withdrawal of consent. Some rights depend on the circumstances and may be limited where records must be retained.
You may also raise a concern with the UK Information Commissioner's Office if you are unhappy with how your information has been handled.
Changes to this notice
This page may be updated when services, suppliers or legal requirements change. The date at the top shows the latest revision.
